Documentation for managing premises and locations.

Learn how to organize your facilities and manage locations within MainKeeper. This guide will help you set up your physical spaces, from entire buildings down to individual rooms or areas.

Locaux

A Premise represents a physical building, facility, or site. This could be a factory, warehouse, office building, or any location where you operate equipment.

💼 What is a Premise?

Think of a Premise as your entire facility:

  • Name: Main Warehouse, Office Building, Production Plant
  • Address: The physical location of your facility
  • Currency: The currency used for costs at this location
  • Active/Inactive: Toggle to show or hide the premise from normal view

Managing Premises

Premises represent the physical buildings or facilities where your operations take place. You can create multiple premises and organize them hierarchically.

📋 Premises List View

When you navigate to the Premises section, you'll see a table showing all your premises with these details:

Column What It Shows
Premises Name The name of your facility
Address Street address of the premises
Created Date When this premise was added to the system
Currency Currency code used for this premises (USD, EUR, etc.)

View Full Details

Click to see all information about a premise, including all locations within it and the number of machines and items stored there.

Edit Premise Information

Update the name, address, currency, or other details. Click to open an edit form where you can change any information.

Show/Hide Premise

Use the active/inactive toggle to hide premises you're no longer using without deleting them from the system.

Delete Premise

Permanently remove a premise and all its locations from the system. Be careful—this action cannot be undone!

➕ Creating a New Premise

Follow these steps to add a new premise:

  1. 1 Click the "Create Premise" button at the top of the list
  2. 2 Enter the Name of your facility (e.g., "Main Warehouse")
  3. 3 Enter the Address where the premise is located
  4. 4 Select the Currency used at this location
  5. 5 Click "Save" to create the premise

⚠️ Note: Make sure to set up your premises before adding locations, as locations are always associated with a specific premise. Locations are always tied to a specific premise, so make sure to set up your premises first.

Locations

A Location is a specific area or zone within a premise. Locations help you organize your equipment and inventory into smaller, manageable sections.

📍 What is a Location?

Locations break down your premise into smaller areas:

Locations can represent:

  • Rooms or sections (North Wing, Storage Room, Maintenance Bay)
  • Floors or levels (Floor 1, Floor 2, Basement)
  • Work areas or departments (Assembly Line, Quality Control, Shipping)
  • Any physical subdivision that makes sense for your operation

Locations are specific areas within your premises where assets are placed. This could be rooms, floors, sections, or any other subdivision that makes sense for your organization.

📋 Locations List View

When you navigate to the Locations section, you'll see a table showing all locations with these details:

Column What It Shows
Location Name The name of the location area
Description Additional details about what's in this location
Premises Which premise/facility this location belongs to
Machines Count of equipment at this location
Inventory Count of items stored at this location

🔘 Actions & Buttons

View Location Details

See all information about a location, including which premise it belongs to, all machines in that location, and inventory stored there.

Edit Location Details

Change the name, description, or other location details. You can update it at any time as your facility layout changes.

Show/Hide Location

Temporarily hide a location without removing it. Useful when an area is temporarily out of service.

Delete Location

Remove a location from the system. All machines and inventory in that location will also be removed. Be careful—this action cannot be undone!

➕ Creating a New Location

Follow these steps to add a new location within a premise:

  1. 1 Click the "Create Location" button at the top of the list
  2. 2 Select which Premise this location belongs to from the dropdown
  3. 3 Enter the Location Name (e.g., "North Wing", "Storage Room A")
  4. 4 (Optional) Add a Location Code like "NW-01" or "STG-A" for quick reference
  5. 5 (Optional) Add a Description with more details about this area
  6. 6 Click "Save" to create the location

Organizing Locations

Create a logical location structure that reflects your physical layout. This will make it easier to find and manage assets.

Build nested locations (e.g., Building > Floor > Room) for better organization.

Example: Building → Floor → Room → Equipment Section

Naming & Codes

Use clear, descriptive names and optional codes for quick reference. Codes help with quick lookup and reports.

Example: Name: "Assembly Area", Code: "ASM-01"

Tracking & Visibility

Track machines and inventory counts at each location. Use this data to understand your resource distribution and plan maintenance.

  • Start Simple: Begin with broad location divisions and refine them as needed
  • Use Codes: Create a consistent naming scheme (e.g., BLD1-FLR2-RM301) for quick reference
  • Match Reality: Structure your locations to match your actual physical layout
  • Keep Updated: Add descriptions to help team members find equipment and understand the layout
  • Review Regularly: Periodically check if your location structure still matches your operations
